Procurement tracking and design specifications perform different jobs. When they are combined without a clear division, clients and trades can encounter cost and delivery information they do not need, while the studio still has to extract the details required for ordering and installation.

This Google Sheets kit separates the work into an FF&E Schedule for items, costs and logistics, and a Project Specifications Guide for materials, finishes and installation information.

Give design intent and procurement their own records

Use the Project Specifications Guide to record what belongs in each space and the information needed to interpret the selection. Use the FF&E Schedule to follow individual items through pricing, ordering, delivery and installation.

The two templates can be maintained together across a project or used separately when the scope requires only one function.

What the kit helps you organise

  • Project and room structure: Arrange information by project, room and category so each selection can be found in its proper context.
  • Products and specifications: Record item descriptions, materials, finishes, dimensions, quantities and other details needed to identify the selection.
  • Suppliers and references: Keep supplier information, product references, links and supporting notes alongside each item.
  • Costs and purchasing: Track pricing, client approval, purchasing details and the status of each order.
  • Delivery and installation: Record lead times, delivery progress, installation requirements and the practical notes needed on site.
  • Client-facing specifications: Maintain a separate guide to materials and finishes without automatically exposing the studio’s procurement and cost tracking.
